Description:
AHL Healthcare Group is seeking a full-time, Receptionist/HR Assistant for our Duluth office. The Receptionist will focus on managing incoming calls and providing exceptional customer service to visitors and coworkers. This position is responsible for the upkeep and organization of the office. They will also assist the Human Resources department with data maintenance, onboarding, trainings and other projects as needed. This position will have excellent knowledge of administrative and clerical procedures, knowledge of computers and relevant software applications, and is able to give accurate and detailed information to visitors and callers. Good communication skills, organization, and attention to detail are a must in this position.

Responsibilities include:
Office Duties:

  • Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate personnel or departments
  • Collects cash / check payments from clients and renters as needed
  • Completing a cash receipt as requested. Forwards payments to proper party
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Monitors and shops for office supplies and cleaning supplies as needed.
  • Administers supplies to programs, such as toner/drum requests and vacuum bags
  • Coordinates office activities and functions such as booking venues or ordering food
  • Attaches checks to billing statement and places in envelop/postage/mail
  • Check stubs are attached to invoice and filed in proper file location
  • Maintains and cleans all office space to include: main conference area, copy room, waiting area, kitchen, back meeting room, file room, and bathroom areas

HR Duties:

  • Facilitates employee onboarding. Walks staff through new hire paperwork and enters data into appropriate systems
  • Processes employee new hire and termination paperwork and checklists
  • Tracks and maintains employee change of information. Updates staff data in appropriate systems
  • Tracks and monitors employee trainings. Ensures training documents are returned. Enters completed trainings into STAR training software
  • Assists with recruiting and coordinating interviews
  • Assists with marketing functions such as creating/formatting flyers, newsletters, and social media posts

Requirements:

  • Ability to multi-task
  • Prior marketing/HR experience preferred
  • Knowledge of computer applications (Word, Excel, Publisher)
  • Valid Driver’s License with acceptable driving record
  • Ability to pass a background check
